Advice for planning your own outdoor event this festival season

Outdoor events will be coming back with a bang this year since restrictions imposed due to the Covid-19 pandemic have all but disappeared completely, so it’s time to grab your sun-cream and your bucket hats and get ready to party!

You might even be thinking about putting on your own mini outdoor event this summer! Now, there’s a lot to consider when taking on a job like this, so to help you out, we’ve put together a little guide full of things for you to consider when planning your outdoor event. Let’s get into it.

Where should I host my event?

When putting on a large (or small) outdoor event, location is a vital factor that you need to take into account early on in your planning stage. For starters, how may guests are you planning to accommodate? Is it 30 people? 50 people? 100 people? The reason we ask is that space you choose to host your event will need to accommodate all of them comfortably, so asking yourself questions like this will help you narrow down potential venue spots, and save you the headache of trying to cram 50 people into someone’s back garden.

How easy is it to access?

It’s worth taking a moment to think about your event from the perspective of your guests, as well as that of the vendors/performers you may choose to include. Be honest, if you were invited to an event which was in a difficult place to reach, would you bother attending? When exploring potential venues, keep the essentials in mind – is there easy access to parking? Does it have good local links to public transport? These are the sorts of things that people think about when considering an outdoor event!As a side note, you should also remember to take into account the requirements of those with physical disabilities. So, ensure there’s ample access to facilities like ramps and specialised paths, should they be required.


Food and drink is a big part of any outdoor event experience, so you’ll need to be able to provide plenty of options to keep everyone happy! Outdoor spaces lend themselves particularly well to barbecues and hog roasts, but just be mindful that a few of your guests may have dietary requirements such as vegetarian, vegan, gluten and dairy-free, so it’s good practice to ensure that you’re prepared to meet the requirements of all your guests, so everybody feels welcome.

What sort of weather should I expect?

The UK climate can be unpredictable to put it mildly, so expect the un-expected. Even though it’s summer, you’ll need to be aware of the various challenges that the weather could throw at you. The heat is the most obvious of these, so make sure that your guests are provided with plenty of shady locations where they can get out of the sun and cool off. Equally, in the event of heavy rainfall (this is Britain after all), we’d recommend you keep some platforms to hand that you can place over boggy patches that might be caused by the downpour.

This is another question that needs to be high on your list of priorities.
